Job Summary

This position is primarily responsible for providing administrative support to the President of Ensemble Health Partners.

Essential Functions & Responsibilities:

•                     Maintain calendars and handle travel arrangements for executives supported and for others in the department as instructed.

•                     Coordinate meetings that include Ensemble Health Partners Associates and/or internal/external consultants and vendors.  Meeting coordination includes on-site and off-site meetings, including related logistics (lodging, meeting material, catering, room, audio visual, etc.)

•                     Support the monthly leadership meetings and other group meetings upon request including room reservation & logistics, catering, audio visual & equipment needs, meeting materials, etc. 

•                     Proactively seek and develop ways to continually improve administrative work systems and processes in the Revenue Cycle departments.

•                     Compose and produce correspondence, reports and/or spreadsheets as instructed.

•                     Provide telephone and communication support to include answering calls from internal and external sources, coordinating conference calls and scheduling meetings.

•                     Create new and/or edit existing presentations from draft and/or raw information.

•                     Type, format and proofread a variety of material for accuracy, clarity.

•                     Exhibit problem-solving skills, ability to handle multiple projects concurrently.

•                     Expert proficiency in Microsoft software (Outlook, Word, PowerPoint, Excel) as well as good working knowledge of  photocopiers, audiovisual equipment, video conferencing equipment, facsimile machines, etc.

•                     Opens, sort and distribute incoming mail and routing materials.

•                     Maintain departmental filing system.

•                     Compile and maintain expense information and prepare expense reports.

•                     Provide assistance with special projects and presentations as requested.

•                     Act as backup for other department coordinators in their absence.


Knowledge, Skills & Experience Required:

•                     4 Year/Bachelors Degree Required. MOS Master Certification preferred or expert knowledge of Outlook, Word, Excel and Powerpoint applications.

•                     Five to seven years experience in an executive/administrative assistant position.

•                     Three to five years experience with event planning.

•                     Three to five years experience with budget planning.

•                     Excellent interpersonal skills including the ability to communicate effectively with Ensemble Health Partners internal and external customer base.

•                     Ability to work independently, proactively with limited supervision and also as a team player when called upon.

•                     Ability to work under pressure, and in a changing environment.

•                     Ability to maintain the security of confidential information.

•                     High work standards and ethics.
